Report Required: Tracking Shortages and Damaged equipment on Rental Return Reporting

Justification for "Contract Damaged Returns" Excel Report

Our system's maintenance utility, accessible via "Additional Options," displays key details (product, quantity, return codes/dates, transfer locations) for "D - Damaged" rental returns.

While functional for on-screen viewing, its critical limitation is the lack of data export capability. Users are confined to a paging screen, preventing data extraction.

The customer has specifically requested an Excel report from this utility to address several needs:

  1. Enhanced Data Analysis: Excel allows sorting, filtering, and trend analysis by contract, product, or date—impractical with the current view-only screen.

  2. Improved Record-Keeping & Auditing: Exports enable easy archiving for historical tracking, auditing, and financial reconciliation.

  3. Efficient Data Sharing: Data can be readily shared with other departments or stakeholders in a universally accessible format.

  4. Informed Decision-Making: Analyzing damage patterns helps refine procedures, identify problematic items/contracts, and improve processes.

  5. Focused Data Consolidation: While the "Rental Return Product Codes Report" exists, it may lack this utility's contract-specific focus or detailed information (like transfer locations). This new report would offer a tailored, consolidated view of all data gathered by the utility.
